The AI Email Tone Softener helps internal communicators, HR professionals, managers, and team leads refine email drafts to strike the right tone—reducing friction, preserving relationships, and improving message reception. You provide an email draft and specify your desired tone (e.g., softer, more diplomatic, or empathetic), and the agent returns a revised email that preserves the core message while adjusting language, sentence structure, and phrasing to reduce negativity or harshness. The output is capped at 1,024 tokens, so the revised email focuses on the five most impactful tone adjustments—ensuring the key points are communicated clearly, yet more constructively and collaboratively. This is ideal for performance feedback, difficult conversations, policy reminders, or any situation where tone matters as much as content.
HOW TO USE
Open the agent in BotSurf (botsurf.ai). Paste your key once (the host handles key management). Then paste your email draft into the input box and specify your desired tone—softer, more diplomatic, empathetic, or any other direction. You can use free‑form text, bullet points, or structured notes. Press “Soften tone” or use Ctrl+Enter (Cmd+Enter on Mac) to generate. Within seconds, you receive a revised email with a softened, more constructive tone. You can also click “Use page selection” to pull highlighted text from any open page—making it easy to capture drafts from emails, documents, or messaging apps without manual retyping. The agent handles any email type, from performance reviews to difficult team communications to external partner messages.
WHAT IT SENDS
The agent sends exactly the text you place in the input box—nothing more. It does not transmit any metadata, browsing history, cookies, attached files, or system information. Transmission occurs only when you press the “Soften tone” button or the keyboard shortcut. Usage logs record the timestamp, user ID, and run count for billing purposes, but they do not store or transmit the substantive content of your input or the agent’s output. The agent does not retain your data after generating a response; every run is stateless. This section is required and precise—there is no hidden data collection, no background scanning, no external sharing, and no persistent storage of your email data.

THE PANEL
Drag the panel by its header to reposition it anywhere on screen. Snap to left, right, or bottom edges for side‑by‑side work with other tools. Collapse to a minimal bar when not in use (click the “−” button or press Escape). Press Escape again to expand. Close the panel with the “✕” button; your input and output remain until you clear them. Panel position and collapse state persist across sessions when the host supports state storage.
