AI Tender Evaluation Matrix Builder
About this app
WHAT IT DOES
The AI Tender Evaluation Matrix Builder helps procurement professionals, insurance underwriters, and evaluation committees structure and document tender assessments objectively and transparently. You provide tender details—evaluation criteria with weights, bidder responses, and any specific concerns—and the agent returns a structured evaluation matrix with five essential sections: Evaluation Criteria (the full list of weighted criteria used for assessment), Bidder Scores and Rankings (scores per criterion and overall weighted totals with clear ranking), Comparative Analysis (a side‑by‑side comparison highlighting relative performance), Key Strengths/Weaknesses (notable advantages and limitations for each bidder), and Recommendation (a clear, evidence‑based recommendation with supporting rationale). The output is capped at 1,024 tokens, so the matrix focuses on the five most critical criteria and bidders—ensuring decision‑makers can quickly identify the strongest option and justify their choice. This is ideal for procurement teams, insurance buyers, contract managers, and evaluation panel members who need to run fair, transparent tender processes.
HOW TO USE
Open the agent in BotSurf (botsurf.ai). Paste your key once (the host handles key management). Then paste your tender details into the input box—criteria, weights, bidder responses, and concerns. You can use free‑form text, bullet points, or structured notes. Press “Build matrix” or use Ctrl+Enter (Cmd+Enter on Mac) to generate. Within seconds, you receive a structured evaluation matrix with clear sections. You can also click “Use page selection” to pull highlighted text from any open page—making it easy to capture data from tender documents, bid submissions, or evaluation sheets without manual retyping. The agent handles any tender type, from IT services to construction to insurance placements.
WHAT IT SENDS
The agent sends exactly the text you place in the input box—nothing more. It does not transmit any metadata, browsing history, cookies, attached files, or system information. Transmission occurs only when you press the “Build matrix” button or the keyboard shortcut. Usage logs record the timestamp, user ID, and run count for billing purposes, but they do not store or transmit the substantive content of your input or the agent’s output. The agent does not retain your data after generating a response; every run is stateless. This section is required and precise—there is no hidden data collection, no background scanning, no external sharing, and no persistent storage of your tender data.
SUBSCRIPTION
$19.99/month with a 7‑day free trial (no charge during trial). Includes 100 runs per month; unused runs do not roll over. You may cancel anytime from your BotSurf account settings—no penalties, no questions asked. After cancellation, access ends at the current billing period’s close. The free trial is a great way to test the agent with your actual tender data before committing.
THE PANEL
Drag the panel by its header to reposition it anywhere on screen. Snap to left, right, or bottom edges for side‑by‑side work with other tools. Collapse to a minimal bar when not in use (click the “−” button or press Escape). Press Escape again to expand. Close the panel with the “✕” button; your input and output remain until you clear them. Panel position and collapse state persist across sessions when the host supports state storage.
PLEASE NOTE
AI may misinterpret scoring or miss tender‑specific requirements. Always validate evaluation matrices against the original tender documents, scoring rules, and organisational policies. This tool provides general information and structural support only—it does not constitute professional procurement, legal, or financial advice. Users must independently verify all scores, weights, and recommendations with stakeholders and legal counsel. The agent is an assistant, not a substitute for qualified procurement or evaluation professionals.
