It works on any webpage displaying meeting invitations, calendar events, scheduling requests, or similar appointment communications. Common sources include Google Calendar, Microsoft Outlook, Calendly, Doodle, email clients, project management platforms, and internal company scheduling systems.
HOW TO USE
Navigate to any page that displays a meeting invitation, calendar event, or scheduling request. Open the BotGentz extension and select Email Reply Declining a Meeting from the tool menu. The panel will appear on the side of your browser. Enter your full name and email address in the provided fields (these are stored locally for future use). Optionally, enter your preferred alternative suggestions in the alternatives field, such as rescheduling for next week or offering a phone call instead. Click the "Draft Reply" button to analyze the current page content. The tool extracts the relevant meeting details and sends them along with your information to the AI for processing. Within moments, you will receive a polite, professional decline reply in the panel. Review the draft, make any edits directly in the panel, and click the copy button to save it to your clipboard for use in your email client.
TECHNICAL SECTION — MEETING INVITATION STRUCTURAL DECOMPOSITION
This tool uses a specialized pipeline trained on scheduling and calendar communication patterns. First, it performs a hierarchical DOM traversal that prioritizes content blocks containing scheduling indicators such as "meeting," "calendar," "invitation," "schedule," "RSVP," "attend," "time," "date," and "appointment." Second, it extracts candidate passages using a context-aware sliding window that captures both the invitation text and surrounding structural markers (date/time fields, attendee lists, location information, action buttons). Third, a trained classifier assigns each passage a probability score for being part of a meeting invitation using features like temporal language frequency ("at," "on," "from," "until"), request phrasing ("please join," "you are invited," "we would like to"), attendee references, and calendar-specific formatting patterns. Fourth, the system applies semantic clustering to group related content into four core categories: the meeting subject/purpose, the date and time details, the attendee list, and any special instructions or links. Finally, the structured clusters, combined with the user's provided information and alternative suggestions, are passed to the AI model with a constrained prompt that instructs it to generate a complete decline reply with standardized sections (polite decline, brief reason if appropriate, alternative suggestion, closing), reducing hallucination and ensuring a professional, contextually appropriate draft.
THE PANEL
The side panel is designed for seamless integration into your browsing workflow. You can drag it to either side of the window, and it remembers your preferred position per website. It supports snap-to-edge behavior and can be collapsed to a small tab for minimal distraction. The panel is resizable horizontally and vertically, with a minimum width of 280px and maximum of 600px. Pressing the Escape key closes the panel. All settings are saved locally.

AI-generated replies are for assistance only and should be reviewed for accuracy and appropriateness before sending, as interpretations may occasionally omit nuances or misread scheduling details. Websites change their invitation formats frequently, and extraction scripts may need periodic updates; we strive to keep the pattern library current. This tool does not store or transmit page content except for the extracted text sent to the AI API; your personal information (name, email) is stored locally in your browser and is only sent to the AI as part of the draft generation. No browsing history or personal data is collected or retained. Subscription billing is monthly and can be canceled at any time.
