About this app
WHAT IT DOES
Email Reply with Status Update is a productivity tool that analyzes project dashboards, task lists, ticket trackers, and progress reports from any webpage, then drafts a professional, concise email reply summarizing the current status. It identifies key project metrics, task completion status, blockers, and upcoming deliverables, then generates a well-structured update that highlights what has been completed, what is currently in progress, and what is planned next. The AI-generated draft is tailored to the specific project data and includes your name and contact information. You can choose between bullet point or paragraph format, review the draft in the panel, edit it as needed, and copy it for use in your email client or team communication platform.
WHERE IT RUNS
This tool operates as a panel within the BotGentz browser extension, available for Chrome, Firefox, Edge, and Brave. It works on any webpage displaying project dashboards, task lists, ticket trackers, progress reports, or similar status tracking interfaces. Common sources include Jira, Trello, Asana, Monday.com, GitHub Projects, GitLab, Linear, Notion, and internal company tracking tools.
HOW TO USE
Navigate to any page that displays a project dashboard, task list, or progress report. Open the BotGentz extension and select Email Reply with Status Update from the tool menu. The panel will appear on the side of your browser. Enter your full name and email address in the provided fields (these are stored locally for future use). Select your preferred format (bullet points or paragraphs) from the dropdown menu. Click the "Draft Status Update" button to analyze the current page content. The tool extracts the relevant project data and sends it along with your information to the AI for processing. Within moments, you will receive a professional, concise status update in the panel. Review the draft, make any edits directly in the panel, and click the copy button to save it to your clipboard for use in your email client.
TECHNICAL SECTION — PROJECT STATUS STRUCTURAL DECOMPOSITION
This tool uses a specialized pipeline trained on project management and status reporting patterns. First, it performs a hierarchical DOM traversal that prioritizes content blocks containing status indicators such as "status," "progress," "completed," "in progress," "blocked," "pending," "due," "milestone," and "deliverable." Second, it extracts candidate passages using a context-aware sliding window that captures both the task data and surrounding structural markers (task names, assignees, due dates, priority labels, status badges). Third, a trained classifier assigns each passage a probability score for being part of a status update using features like completion language frequency ("done," "finished," "complete," "ready"), time references ("this week," "last sprint," "by Friday"), dependency markers, and status label patterns. Fourth, the system applies semantic clustering to group related content into three core categories: completed work, in-progress work, and upcoming tasks, along with any blockers or risks noted. Finally, the structured clusters, combined with the user's provided information and format preference, are passed to the AI model with a constrained prompt that instructs it to generate a complete status update with standardized sections (opening summary, completed work, current progress, upcoming tasks, and any blockers), reducing hallucination and ensuring a professional, contextually appropriate draft.
THE PANEL
The side panel is designed for seamless integration into your browsing workflow. You can drag it to either side of the window, and it remembers your preferred position per website. It supports snap-to-edge behavior and can be collapsed to a small tab for minimal distraction. The panel is resizable horizontally and vertically, with a minimum width of 280px and maximum of 600px. Pressing the Escape key closes the panel. All settings are saved locally.
PLEASE NOTE
This tool requires the free BotGentz extension and an active subscription to access the AI drafting feature. AI-generated status updates are for assistance only and should be reviewed for accuracy and completeness before sending, as interpretations may occasionally miss task details or misread progress data. Websites change their project tracking layouts frequently, and extraction scripts may need periodic updates; we strive to keep the pattern library current. This tool does not store or transmit page content except for the extracted text sent to the AI API; your personal information (name, email) is stored locally in your browser and is only sent to the AI as part of the draft generation. No browsing history or personal data is collected or retained. Subscription billing is monthly and can be canceled at any time.
