This tool operates as a panel within the BotGentz browser extension, available for Chrome, Firefox, Edge, and Brave. It works on any webpage displaying invitations, requests, offers, proposals, or similar communications requiring a decline response. Common sources include email clients, professional networking platforms, project management tools, and internal communication systems.

HOW TO USE

Navigate to any page that displays an invitation, request, offer, or proposal you need to decline. Open the BotGentz extension and select Email Reply Politely Declining from the tool menu. The panel will appear on the side of your browser. Enter your full name and email address in the provided fields (these are stored locally for future use). Optionally, enter a brief reason for declining and a future opportunity note. Select your preferred style (brief or appreciative) from the dropdown menu. Click the "Draft Reply" button to analyze the current page content. The tool extracts the relevant request details and sends them along with your information to the AI for processing. Within moments, you will receive a polite, professional decline email in the panel. Review the draft, make any edits directly in the panel, and click the copy button to save it to your clipboard for use in your email client.

TECHNICAL SECTION — REQUEST AND PROPOSAL STRUCTURAL DECOMPOSITION

This tool uses a specialized pipeline trained on invitation, request, and proposal communication patterns. First, it performs a hierarchical DOM traversal that prioritizes content blocks containing request indicators such as "invitation," "request," "offer," "proposal," "opportunity," "ask," "please," "would you," and "we would like." Second, it extracts candidate passages using a context-aware sliding window that captures both the request text and surrounding structural markers (sender details, deadlines, action items, specific asks). Third, a trained classifier assigns each passage a probability score for being part of an invitation or proposal using features like request language frequency ("we request," "we invite," "we offer"), opportunity framing, specific ask markers, and timeline references. Fourth, the system applies semantic clustering to group related content into three core categories: the nature of the request, any deadlines or time constraints, and the expected response or action. Finally, the structured clusters, combined with the user's provided information (name, email, reason, future note, and style preference), are passed to the AI model with a constrained prompt that instructs it to generate a complete decline reply with standardized sections (appreciation, graceful decline, brief reason if applicable, future opportunity note, and polite closing), reducing hallucination and ensuring a professional, contextually appropriate draft.

THE PANEL

The side panel is designed for seamless integration into your browsing workflow. You can drag it to either side of the window, and it remembers your preferred position per website. It supports snap-to-edge behavior and can be collapsed to a small tab for minimal distraction. The panel is resizable horizontally and vertically, with a minimum width of 280px and maximum of 600px. Pressing the Escape key closes the panel. All settings are saved locally.

AI-generated decline replies are for assistance only and should be reviewed for accuracy and appropriateness before sending, as interpretations may occasionally miss request nuances or misread the sender's expectations. Websites change their communication formats frequently, and extraction scripts may need periodic updates; we strive to keep the pattern library current. This tool does not store or transmit page content except for the extracted text sent to the AI API; your personal information (name, email) is stored locally in your browser and is only sent to the AI as part of the draft generation. No browsing history or personal data is collected or retained. Subscription billing is monthly and can be canceled at any time.
